1K a year 15 hours ago 15 hours ago 15 hours ago Description Under the direct supervision of the Business Office Manager, this position handles incoming telephone calls for Dept.
of Community Programs (DCP) and Harbor Haven Health & Rehabilitation Center HHHRC).
This position sets up appointments, cancels and reschedules appointments, handles client/patient check-in for outpatient appointments.
Prepares for next day appointments by printing and reviewing state computer systems and department system printouts.
Provides clerical assistance to outpatient staff.
Examples of Duties The following duties are normal for this position.

Schedules outpatient appointments on a computerized appointment system.
Answers multi-line phone system to relay incoming, outgoing and inter-office calls.
Researches clients in computer system as appropriate, schedules, cancels and reschedules appointments as necessary.
Completes reminder call to all clients the day before their scheduled Outpatient appointment.
Receives visitors, patients and clients, determines their needs and directs them accordingly.
Check-in appointments per DCP outpatient appointment schedule, obtains appropriate client information such as address/phone changes and accurate insurance information.
Inputs computer changes into client tracking system.
Verifies Medical Assistance, Medicare, HMO, and Commercial insurance eligibility via online State computer system, compare to department system to ensure accurate information is obtained.
Notify Billing department of any discrepancies.
Calls client/patients on Appointment waitlist to schedule appointment as time slots become available.
Schedule Interpreters as needed for appointments.
Provide assistance as back-up to the following tasks:
prepare outgoing mail for DCP and HHHRC, distribute mail as appropriate, assist intake office with the entry of new clients/patients including, demographic and release of information data, and other tasks as assigned.
Runs reports and completes data entry as required.
Performs miscellaneous clerical duties as requested.
Typical Qualifications Desirable Knowledge and Abilities:
Knowledge of medical terminology, computerized systems and DCP policies regarding admission of patients.
Ability to operate office equipment, accurate data entry and interact effectively with clients, their families, the public and agency staff.
Ability to maintain a high degree of confidentiality.
Training and
Experience:
Graduation from high school and 1 year of general office experience.
Post-high school education in data entry, secretarial or data processing is desirable.
In evaluating candidates for this position, the County may consider a combination of education, training and experience which provides the necessary knowledge, skills and abilities to perform the duties of the position.

Estimated Salary: $20 to $28 per hour based on qualifications.
